Create a Google review request program without review gating

Invite every eligible customer through a neutral, auditable process that does not filter by happiness or reward sentiment.

Define eligibility from the experience

Start with a business event that demonstrates a genuine customer experience: completed service, fulfilled order, finished visit, or closed support case. The rule should not depend on whether staff think the person is happy or likely to leave five stars.

Document exclusions that protect accuracy, such as canceled appointments with no service, duplicate contacts for the same event, internal tests, employees, and known delivery failures. Apply the rule consistently across locations and customer segments.

Separate feedback collection from review selection

A private satisfaction survey can help operations, but its score must not decide who receives a Google review link. Sending happy respondents to Google while keeping unhappy respondents in a private support flow is review gating because public participation is filtered by predicted sentiment.

Offer support to dissatisfied customers and give eligible customers the same neutral Google invitation. The two actions can coexist. Design the systems so a low survey score opens a recovery case without suppressing the review request.

Use a neutral message

Ask the customer to share an honest experience. Do not ask for a positive review, five stars, particular keywords, or a mention of an employee. Keep the choice optional and avoid language that says the rating will help someone keep a job or earn a reward.

A safe example is: “Thank you for choosing us. If you would like to share your experience, you can leave an honest Google review here.” Have policy and legal owners approve the channel, timing, and any required messaging for the business.

Use Google’s official link or QR code

Google lets businesses create a review link or QR code from the Business Profile. The link can appear on receipts, in thank-you emails, at the end of a chat interaction, or on in-store materials. QR code creation currently requires a computer browser.

Test each location’s link while signed out of the management account. Confirm it opens the correct profile and does not pass through a sentiment-selection page. Maintain the mapping with the location’s stable internal identifier.

Remove every form of incentive

Google prohibits free or discounted goods, services, payment, and similar benefits in exchange for reviews. The rule also applies to incentives for changing or removing negative reviews. Do not use contests, points, refunds, or staff bonuses tied to posted sentiment.

Review vendor and employee compensation plans. A vendor paid for each five-star review has a built-in reason to pressure or filter customers. Reward correct process execution and customer care, not ratings or review counts.

Control frequency and suppression

Choose a reasonable request time after the experience and suppress duplicates for the same transaction. Respect communication consent and opt-outs. A reminder, if used, should be limited and neutral. Repeated requests can feel coercive even without an explicit reward.

Document batch sends and workflow changes so unusual review volume has context. If a link is wrong or messages reach ineligible people, pause the channel, correct the issue, and record the remediation rather than pushing through a campaign goal.

Audit the complete customer path

Quarterly, sample eligible and ineligible records across locations. Confirm that sentiment did not affect selection, templates remained neutral, links were correct, and no local team added unauthorized language or rewards. Review complaints about the request itself.

The program should produce a fair opportunity for genuine customers to speak. It does not promise a particular volume, rating, or business outcome. Its value is a current, unbiased feedback stream the company can read and act on.

Document who approves changes to eligibility, timing, templates, and vendors. A seemingly small edit can introduce a happiness screen or an incentive. Change control keeps the reviewed process intact after new systems, managers, and campaigns enter the customer journey.

TakeawayBase eligibility on a completed experience, invite every eligible customer neutrally, and keep sentiment, incentives, and pressure out of the path.
